Terms and Conditions
1. Scope
These Terms and Conditions (“T&Cs”) apply to all bookings, ticket purchases, vendor applications, and services provided by Midlands Fibre Festival (hereinafter referred to as “the Festival”, “we”, “us”, or “our”).
By purchasing tickets, booking a stall, or attending the Festival, you agree to be bound by these Terms and Conditions.
2. Formation of Contract
A contract is formed between you and the Festival when:

A ticket purchase is completed and payment is received, or
-
A vendor/exhibitor application is accepted by the Festival, or
-
You otherwise engage services offered by the Festival
We reserve the right to refuse or cancel bookings at our discretion, subject to applicable Irish consumer law.
3. Pricing

All prices are listed in Euro (€) and include VAT where applicable in accordance with Irish law.

Prices may change at any time prior to booking confirmation.

The price applicable is the one displayed at the time of purchase.

Additional charges (e.g. booking fees or processing fees) may apply and, if applicable, will be clearly stated at the outset and shown in any price breakdown.
4. Payment Terms

Payment must be made in full within the payment period specified on your invoice, unless otherwise agreed.

Accepted payment methods may include card payment, bank transfer, or approved online payment systems.
Failure to pay on time may result in: -
Cancellation of booking
-
Refusal of entry or participation
-
Reallocation of vendor space
We reserve the right to require advance payment at any time.
5. Ticketing and Entry
5.1 Tickets
-
Tickets are non-transferable unless expressly permitted.
-
Tickets may not be resold for commercial gain.
-
Proof of purchase may be required on entry.
5.2 Admission
-
The Festival reserves the right to refuse entry or remove any attendee whose behaviour is deemed unsafe, disruptive, or inappropriate.

No refund will be issued in such cases.
6. Vendor and Exhibitor Obligations
Vendors/exhibitors agree to:
-
Comply with all applicable Irish laws and regulations, including health and safety requirements
-
Hold appropriate insurance (e.g. public liability insurance) if required by the venue.

Ensure all products sold comply with Irish consumer and product safety laws
-
Operate only within their allocated space and times
The Festival reserves the right to remove vendors who do not comply.
7. Customer Obligations
Attendees and participants must:

Follow all safety instructions and event rules
-
Respect staff, vendors, and other attendees
-
Take reasonable care of personal belongings
You are responsible for your own property at all times.
8. Cancellations and Refunds
8.1 Ticket Holders
-
Tickets are generally non-refundable, except where required under Irish consumer law
-
If the Festival is cancelled, a full refund will be issued
-
If the Festival is postponed, tickets may be transferred to a new date
8.2 Vendors
-
Vendor fees are non-refundable unless the event is cancelled
-
In exceptional circumstances, refunds may be issued at the Festival’s discretion
9. Changes to the Event
The Festival reserves the right to:

Change the programme, schedule, or venue
-
Substitute speakers, workshops, or vendors
-
Make any necessary adjustments due to unforeseen circumstances
No refunds will be issued for such changes unless legally required.
10. Liability
10.1 General Liability
To the fullest extent permitted by Irish law:
-
The Festival is not liable for any indirect or consequential loss
-
Liability for direct loss is limited to the amount paid for the relevant ticket or service
10.2 Personal Injury
Nothing in these Terms excludes liability for:
-
Death or personal injury caused by negligence
-
Fraud or fraudulent misrepresentation
-
Any liability that cannot be excluded under Irish law
10.3 Personal Property
The Festival is not responsible for loss, theft, or damage to personal belongings.
11. Insurance
Attendees attend at their own risk. Vendors and exhibitors are always recommended to carry appropriate insurance, including public liability cover, only if required by the venue. If the venue does require individual coverage, this will be communicated to vendors prior to the event.
12. Intellectual Property

All Festival branding, content, logos, and materials remain the property of Midlands Fibre Festival

No materials may be reproduced without prior written consent
Photography and filming may take place at the event. By attending, you consent to the use of images for promotional purposes unless you notify us otherwise.
13. Data Protection
We process personal data in accordance with:

The General Data Protection Regulation (GDPR)

The Data Protection Acts 1988–2018 (Ireland)
Your data will be used for:

Managing bookings and participation
-
Communication regarding the Festival
-
Legal and administrative purposes
We will not share your data with third parties except where necessary or legally required.
14. Amendments
These Terms and Conditions may be updated at any time. The version in force at the time of booking will apply unless otherwise agreed.
15. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
16. Confidentiality
Any confidential information shared between parties must not be disclosed to third parties without consent, unless required by law.
17. Force Majeure
The Festival shall not be held liable for failure or delay in performance due to events beyond our control, including but not limited to:

Severe weather

Natural disasters
-
Public health emergencies
-
Government restrictions
-
Strikes or industrial action
If the event is cancelled due to force majeure, refunds will be handled in accordance with applicable law.
18. Governing Law
These Terms and Conditions are governed by the laws of Ireland.
Any disputes shall be subject to the jurisdiction of the Irish courts.

Health & Safety Policy
1. Commitment
Midlands Fibre Festival is committed to providing a safe environment for attendees, vendors, and staff in line with Irish health and safety legislation.
2. Responsibilities
Festival Organisers:

Provide a safe venue

Conduct risk assessments, if required by the hosting venue

Ensure emergency procedures are in place
Vendors:
-
Maintain safe stalls
-
Ensure equipment is safe
-
Follow all safety guidance
Attendees:

Follow instructions from staff
-
Act responsibly
3. Fire Safety

Fire exits must remain clear at all times
-
No unauthorised use of open flames
-
Electrical equipment must be safe and certified
4. First Aid

First aid assistance will be available on-site
-
All incidents must be reported to Festival Staff/Organizers, and/or Venue Staff
5. Trip Hazards

Cables must be secured
-
Walkways must be kept clear
6. Emergencies
In case of emergency:

Follow staff instructions
-
Evacuate calmly via designated exits
7. Public Health

The Festival will follow any applicable public health guidance

Attendees must not attend if unwell where advised
